BOY SCOUT TROOP 29 COMMITTEE ORGANIZATION

ARNDTS LUTHERAN CHURCH
EASTON, PA.

The Scouts in our troop are responsible for their own program through proper planning and use of their resources. One of the resources available to them is their Parents and other adults. They rely on us to provide transportation, equipment, fund-raising opportunities, a Scoutmaster and assistants, and Patrol Advisors. These adults form the Troop Committee.

A fully staffed and functioning Troop Committee can help the Troop to run an effective full program without any one person having to do all the work. To keep the Troop committee fully staffed we need to add new people as our existing members move on in life with their sons.

Adult Leader Training is required for all adults who want to be involved in the program on a weekly basis as an Assistant Scoutmaster. The training is available to all adults and we encourage all committee members to attend the next available Scout Leader Basic Training Program. This training gives you the basic skills and methods of Boy Scouting, which will give you a good understanding of the total program.

Parents are encouraged to register in the Troop as Committee Members, or participate on Sub-committees or on our Board of Review. The registration fee for adults joining the Troop is $15.00 a year. Registered adults will receive the Scouting magazine quarterly and will be covered by the Minsi Trails Council insurance while on Troop outings.

The Troop Committee provides transportation, equipment, fund raising opportunities, Assistant Scoutmasters, guidance and advice to the Scoutmaster and the Leadership Corps. The Committee may create ad Hoc Committees and special assignments as necessary.

Troop Program Planning Meetings are held the 3rd Tuesday night of each month at Arndt’s Church. Troop Committee Meetings are held the 3rd Thursday night of each month at Arndt’s Church at 7:30 p.m. All Troop Leaders and Adults are invited to the Troop Committee Meeting.

Troop adult leadership positions and committees are described below.


TROOP COMMITTEE JOB DESCRIPTIONS
Adults in the following positions must be registered as an adult leader with the Troop.

Chartered Organization RepresentativeRALPH HORTON

  • Is a member of the chartered organization.
  • Maintains close liaison with the Troop Committee Chairperson.
  • Help recruit the right adult leadership.
  • Serve as liaison between the unit and the sponsor organization.
  • Promote the recruiting of new members.
  • Assist with unit re-chartering.
  • Encourages service to the sponsor organization.
  • Is active and involved member of the district committee.

Committee ChairpersonDALE WILSON

  • Organizes the Troop Committee to see that all functions are delegated, coordinated and completed.
  • Maintain a close relationship with the Chartered Organization Representative, keeping this key person informed of the needs of the Troop.
  • Confer with the Scoutmaster on policy matters relating to Boy Scouting and the Chartered Organization.
  • Supervise Troop Committee operations by:
  • Calling and presiding at the monthly Troop Leader’s meeting.
  • Assigning duties to and training committee members.
  • Planning for Troop charter review and registration.
  • Work with the Chartered Organization Representative to provide adequate and safe facilities for Troop meetings.
  • Control finances through adequate financial records and approved fund-raisers.
  • Assume active direction of the Troop if the Scoutmaster is unable to serve, until a successor is recruited and commissioned.

SecretaryTOM BILLIARD

  • Handle correspondence for the Troop. This may be writing letters of appreciation, writing for reservations, or sending orders for supplies.
  • Attend the monthly Troop Leader’s meeting, keep notes and type up minutes to be distributed at the upcoming Troop meeting.
  • Notify Leaders of monthly Troop Leaders meetings.

TreasurerANN MARIE BALLENTINE

  • Help the Troop Committee in establishing a sound financial program for the Troop with a Troop budget plan.
  • Maintain the bank accounts in the name of the Troop.
  • Maintain the individual Scout accounts.
  • Approve budget expenditures.
  • Keep up-to-date records. Enter all income and expenditures under proper budget item in the Troop’s computerized financial software program.
  • Make monthly reports on the Troop’s financial condition.
  • Participate in the monthly Troop Leader’s meeting.
  • Lead in the preparation of the annual budget.

Membership Chairperson – **VACANT**

  • Maintains membership roster.
  • Assists Chartered Organization Representative and Committee Chairperson in the annual Troop re-charter.
  • Makes preparations for and handles re-charter night in November.
  • Assists in coordination with local Cub Packs for transition to the Troop.
  • Conducts the Troop resource survey.
  • Ensure that every family has a job.
  • Works with the Committee Chairperson to fill vacant leader positions.

Training Chairperson**VACANT**

  • Provides information and dates about upcoming training sessions.
  • Insures that all Troop leaders attend the necessary training for their position.
  • Maintain the Troop’s Scout and Adult Leader Training history.
  • Maintain communications with the local Council and District training chairpersons.

Advancement ChairpersonRALPH HORTON

  • Oversees the advancement record keeping and Board of Review process.
  • Advises and assist the Advancement Review Board.
  • Checks each Scout's individual record periodically to ensure they are kept up-to-date.
  • Conducts progress reviews with Scouts who are not advancing.
  • Works with each Scout to help him establish personal advancement goals.
  • Helps to acquire and maintain a list of Merit Badge Counselors.
  • Works with the Scoutmaster and PLC in conducting Courts of Honor on a regular basis.

Advancement Records ManagerRALPH HORTON

  • Ensures that all completed merit badges cards are given to the Troop Data Input Person to be entered into Troopmaster.
  • Prior to each Court of Honor requests a Troop Advancement Report printout along with a Court of Honor report and a council shopping list.
  • Ensures that all information on the Troop Advancement Report is correct.
  • Visits the council office to purchase awards, fills out the cards and prepares them for presentation.
  • Keeps an accurate and legible record book of Troop Advancement and Court of Honor reports.

Board of Review CoordinatorDEB CAPLETTE

  • Records and schedules Scouts for Board of Review.
  • Recruits and schedules parents to conduct Board of Reviews.

Data Base AdministratorRALPH HORTON

  • Enter all Troop data into the Troop software program.
  • Enter Scout advancement into the computer after Scoutmaster conferences and print out Board of Review and Individual History reports for the Board of Review.
  • Print out Troop Advancement, Court of Honor and Council shopping list reports for the Advancement Records manager prior to each Court of Honor.
  • Backup the Troop software after each use.

Activities CoordinatorERIC LEUSHNER

  • Recruits Trip Leaders and Event Chairpersons. These people run the business end of events not the program unless they have chosen to do so.
  • Responsible for coaching the Trip Leaders and Event Chairpersons to see that they understand what is needed and that the chores are handled in a timely manner.
  • Acts as liaison to Troop Committee for all events and activities.
  • Responsible for ensuring records of attendance for all activities and events are forwarded to the Attendance Records Manager.

Fund Raiser Coordinator – **VACANT**

  • Recruits parents to chair various fund-raisers.
  • Advises fund-raiser chairs.
  • Ensures that the fund-raiser is starting on time and that milestones are being met.
  • Encourages fund raiser chair to wrap up their projects in a timely manner.
  • With the help of the fund raiser chair, documents the project.

Troop Health Officer JIM JAQUES

  • Collects Medical forms from all registered Scouts and Leaders yearly at the November sign up night.
  • Collects Medication/Allergy forms on a trip by trip basis.
  • Ensures that Trip Leaders have up to date Medical forms and Medication/Allergy forms for their trip.

Equipment ChairpersonJOHN SUSEN

  • Works with the Scout Quartermasters on inventory, storage, distribution, collection and proper maintenance of all Troop equipment.
  • Identifies the need for new equipment. Researches the vendor, price and delivery of new equipment and presents recommendations to the Troop Committee.

Troop Trip Leaders – AS NEEDED

  • Organize and run Troop outdoor events. Trip Leaders are not responsible for program unless they agree to that separately.
  • Sets date, location and time with the help of the Troop Committee.
  • Make reservations for facilities or equipment.
  • Prepare and distribute announcement about event, including permission slips.
  • Collect Medication/Allergy forms, trip deposits and payments, and permission slips.
  • Arrange and assists in purchase of food, cooking and clean up for adult leaders.
  • Recruits adult assistance for the trip and for transportation to and from event.
  • Prepare and submit Tour Permits to Council as required.
  • Provide documentation of attendance to the Attendance Record Manager

Troop Activities

Attendance Records ManagerCRAIG HILL

  • Collect from each Trip Leader or Event Chairperson list of participants.
  • Collect data on miles hiked, biked, or canoed, days and nights camped.
  • Post the data in the spreadsheet on the Troop computer.

Board of Review Parents AS NEEDED

  • Review Scouts for their rank advancement.
  • The Board talks to the Scout about advancement requirements, goals, current events and program.
  • Sample review questions for each rank are supplied.

Troop Store Advisor – JAN SHOTWELL

  • Encourages Scouts and Leaders to donate old uniforms.
  • Organizes and controls the uniform inventory
  • Assists Scouts, Leaders and parents in finding uniforms.
  • Advises and assist the Troop Store manager in selection, purchasing and selling of product in the store.
  • Ensures that the store in open on a regular basis.

Troop Web Site AdvisorBILL BRODNIAK

  • Recruits Scouts to work on the web site.
  • Assist Troop Webmaster in maintaining the Troop web site.
  • Approves all web site content.

Troop Newsletter AdvisorVACANCY

  • Assist the Troop Newsletter Editor in preparing the newsletter.
  • Ensure that the newsletter is published bi-monthly.
  • Approves all newsletter content.

Scouting for Food Chairperson and Committee 2006– **VACANT**

  • Attend roundtables for Council information and to pick up bags.
  • Arrange with the Chartered Organization Representative for the use of the church.
  • Prepare and distribute announcement about event.
  • Recruit parents to assist in distribution and pick up of bags.
  • Organize bag distribution on first Saturday.
  • Organize food pick on second Saturday.
  • Record number of Scouts and adults participating and provide it to the Attendance Records Manager.
  • Record by weight the amount of food picked up and report to Council as directed.
  • Oversee boxing and transporting of food to local food bank.

Troop Picnic Chairperson and Committee 2006– **VACANT**

  • Sets date, location and time with the help of the Troop Committee. (August)
  • Make reservations for facilities.
  • Prepare and distribute announcement about event.
  • Collect reservation forms from Troop members to establish participation and collect fee if any.
  • Arrange and assists in purchase of food.

Red And White Banquet Chairperson and Committee 2007 - MARJORIE & ERIC LEUSHNER

  • Sets date, location and time with the help of the Troop Committee. (February)

  • Collect reservation forms from Troop members to establish participation and collect fees if any.
  • Arrange and assists in purchase of food.

Adult Social Chairperson and Committee 2007– DEB CAPLETTE & PAULINE STEPANSKY

  • Sets date, location and time with the help of the Troop Committee. (March)

  • Collect reservation forms from adult members to establish participation and collect fee if any.

Wreath Sale Chairperson and Committee 2007– ANN MARIE BALLENTINE

  • Contact company for prices and other information.
  • Set dates for starting and ending the sale along with order and money due dates and pick up date.
  • Prepare and distribute announcement about event.
  • Collect money, record each Scout’s participation and direct Treasurer in paying bills.
  • Coordinates the distribution of products.

Popcorn Sale Chairperson and Committee 2006– ROSS PENNINGTON & MIKE MATYUS

  • Attend roundtables and Kick-off meetings for information.
  • Post dates for starting and ending the sale along with order and money due dates and pick up date.
  • Prepare and distribute announcement about event.
  • Collect money, record each Scout’s participation and direct Treasurer in paying bills.
  • Coordinates the distribution of products, prizes and patches.

Pie Sale Chairperson and Committee Spring 2007– PAUL WINDERS

  • Contact company for prices and other information.

Friends of Scouting Chairperson 2006– VACANT

  • Attend roundtable and pick up donation cards.
  • Prepare presentation for the Red & White Banquet. (February)
  • Hand out donation card and explain how to fill them out.
  • Collect donations and direct Treasurer to send check to Council.

TROOP JOB DESCRIPTIONS - ADULT PROGRAM LEADERS
Adults in the following positions must be registered as an adult leader Troop and have taken Scout Leader Basic Training.

Scoutmaster – BILL BRODNIAK

  • Train and guide scout leaders to run their troop.
  • Works with and assists the Senior Patrol Leader or his designated Assistant Senior Patrol Leader in the planning and execution of Troop activities, meetings, events, etc.
  • Works with and assists (along with other adult leaders where appropriate) the Troop officers in the planning of meetings, events, and activities of their area of responsibility. (Ex. Scribe, Historian, Quartermaster, Newsletter Editor, Troop Store Manager, Webmaster, etc.)
  • Help Scouts to grow by encouraging them to learn for themselves.
  • Conduct Scoutmaster conferences.
  • Work with and through responsible adults to bring Scouting to boys.
  • Help the troop committee recruit assistant Scoutmasters.
  • Attend training courses and roundtables.
  • Attends all Troop meetings, training courses, Troop activities and District Round Table Meetings, or has a qualified adult substitute.
  • Conducts sessions with Parents of new Scouts to explain the Scouting program and to encourage them to participate.
  • Be involved with recruitment of new Scouts, Webelos graduation ceremonies and taking part in annual membership inventory.
  • Scoutmaster is expected to use the Methods and Aims of Scouting.
  • The Scoutmaster is expected to participate in Scoutmaster Training and other advanced training such as Woodbadge.

Assistant Scoutmaster – Program – VACANCY

  • In the absence of the Scoutmaster, works with and assists the Senior Patrol Leader or his designated Assistant Senior Patrol Leader in the planning and execution of Troop activities, meetings, events, etc.
  • Be responsible to the Scoutmaster for the Troop meeting Program.
  • Coordinates and advises/assists the Adult Leader support and execution of the Troop meeting program.
  • Works with and advises/assists the Senior Patrol Leader in the execution of the Troop meeting program.
  • Attend training courses and roundtables.

Assistant Scoutmaster – New Scouts – DEAN MARINO

  • Be responsible to the Scoutmaster for Program and Activities of the New Scout Patrols.
  • Works with and advises/assists the Assistant Senior Patrol Leader for the New Scouts in planning and execution of Scout activities, meetings, events, etc., in conjunction with the New Scout Patrol/Crew Leaders.
  • Attend training courses and roundtables.

Assistant Scoutmaster – Adventure Patrol – DAN STEVRALIA

  • Be responsible to the Scoutmaster for Program and Activities of the Experienced Scout Patrols.
  • Works with and advises/assists the Assistant Senior Patrol Leader for the Experienced Scouts in planning and execution of Scout activities, meetings, events, etc., in conjunction with the Experienced Scout Patrol Leaders.
  • Attend training courses and roundtables.

Assistant Scoutmaster –High Adventure

  • Be responsible to the Scoutmaster for Program and Activities of the High Adventure Program.
  • Works with and advises/assists the Assistant Senior Patrol Leader for the High Adventure Scouts in planning and execution of Scout activities, meetings, events, etc., in conjunction with the High Adventure Scout Patrol/Crew Leaders.
  • Attend training courses and roundtables.

Assistant Scoutmaster – Program Support – Craig Hill, Gene Kancianic, Gary Beach, Tom Billiard

  • In the absence of the Scoutmaster, works with and assists the Senior Patrol Leader or his designated Assistant Senior Patrol Leader in the planning and execution of Troop activities, meetings, events, etc.
  • Be responsible to the Scoutmaster for Program and Activities as needed.
  • Attend training courses and roundtables.

Patrol Advisors – various parents/leaders

  • Under the direction if an Assistant Scoutmaster works with and assists the Troop Guides, Assistant Senior Patrol Leader and Patrol Leader in the planning and execution of Patrol activities, meetings, events, etc.
